Revoke a user's access to an organisation

How to remove a user from an organisation or revoke their access on the eConnect platform.

When an employee leaves the company or no longer needs access to certain organisations, you can revoke their access as an administrator. This ensures the user can no longer view or process invoices for that organisation.

Remove access to an organisation
Step 1: Open the organisation

Go to My environment > Organisations and select the organisation.

Step 2: View the member list

Open the member list of the organisation.

Step 3: Remove the member

Remove the user as a member of the organisation. The user keeps their account in the environment, but can no longer see invoices or documents from that organisation.

Remove a user from the environment entirely

Want to remove a user completely from the environment, so they have no access at all?

Step 1: Open the user overview

Go to My environment > Users.

Step 2: Select the user

Click on the name of the user you want to remove.

Step 3: Remove the user

Remove the user from the environment. After removal the user can no longer log in to your environment.

Who can revoke access?
  • Environment administrators can remove users from the entire environment and from all organisations.
  • Organisation administrators can remove members from the organisations they manage.
  • Basic users and advanced users cannot remove other users.
When a colleague leaves

Search for the user by login email address (the username), not just by display name. With duplicate names or inactive accounts, a user may otherwise be difficult to identify unambiguously.

When a colleague leaves the company, follow these steps:

Step 1: Remove the membership

Remove the user as a member of all organisations.

Step 2: Remove the user

Remove the user from the environment (optional, but recommended).

Step 3: Check the administrators

Check whether the departing colleague was the only administrator. If so, appoint a new administrator first.

There is no need to inform eConnect about the departure; user management is entirely self-service.

Reactivating an inactive user account

If a user sees the message "user not active" (or "User is not active") when logging in, the account has been deactivated. Reactivation is self-service by an administrator — no written approval and no support intervention is required. eConnect support does not perform user maintenance in customer accounts.

By default, the user overview only shows active accounts. An inactive user may therefore appear to be missing under Users, and granting permissions will not work. The account has not been deleted; you just need a filter.

Step 1: Open the user overview

Go to My environment > Users.

Step 2: Filter for inactive users

Use the filter or funnel icon in the overview to show inactive users.

Step 3: Open the user menu

Click the three dots to the right of the user.

Step 4: Activate the user

Click activate.

After activation, link the user to the appropriate organisation(s) again and check their role. Without an organisation membership the user has no access to documents.

If the user does not appear among the inactive accounts or among pending invitations, invite the user again.

Frequently asked questions
Can a removed user still access invoices?

No. As soon as you remove a user as a member of an organisation, that user no longer has access to the invoices of that organisation. If you also remove the user from the environment, they have no access to the platform at all from that environment.

Do I need to inform eConnect when a colleague leaves?

No, user management is entirely self-service. As an administrator you can remove users from organisations and the environment yourself. Just make sure the departing colleague was not the only administrator.

What if the departing colleague was the only administrator?

Appoint a new administrator before removing the departing colleague. If that is no longer possible (for example because the colleague has already been removed), contact support via support.econnect.eu. After identity verification the support team can appoint a new administrator.

I cannot see a colleague under Users — what now?

Check whether the user overview shows only active accounts by default. Filter for inactive users: the account may have been deactivated, not deleted. See "Reactivating an inactive user account" above. If the user also does not appear among the inactive accounts or pending invitations, invite them again.
